Xerox Modern Apprenticeship: Finance Assistant in West Lothian, United Kingdom

Concept Group, one of the UK’s leading Document Solutions Providers, and part of the Xerox Corporation is looking to expand its existing Finance Operation. Working from our Head Office in Livingston we currently have a requirement for an Apprentice Finance Assistant.. The successful candidate will join a lively team of motivated employees who thrive on the success of working for one of the UK’s leading solutions provider.

• To learn and then provide holiday, absence and general cover for all aspects of the administration and finance for the Group growing as experience and skills develop. Specific role details are below

• Provide administrative assistance to the sales administrator, purchase ledger and credit control team.

• Provide cover in event of absence for any of the roles within finance appropriate to the experience and skills gained at that time.

What might a typical day in this job look like?

• Provide administrative assistance to the sales administrator, purchase ledger and credit control team.

• Provide cover in event of absence for any of the roles within finance appropriate to the experience and skills gained at that time

• Spend period of 1 month with each of the functions within the admin and finance team (covers first 6 months and timing will vary according to the individual and workloads / priorities

o Purchase ledger

Create Purchase orders

Match POS and GRNs

Post invoices

Generate, create and post supplier payments

o General ledger

Cash book postings

Bank reconciliations

analysis

o Sales Ledger and credit control

Credit control for small section of ledger

Prepare monthly direct debit collections for submission

Post and allocate Direct debits to system.

o Sales Administration

Creation of monthly deal lists and analysis

Understanding leasing

Raising of sales invoices to leasing companies

o Management accounting.

Reconciliations of balance sheet accounts

Creation of and posting of journal entries

Analysis of P&L accounts

o Fleet management

Assist with vehicle renewal paperwork

Provide monthly analysis of vehicle costs

Learn vehicles telematics platform for reporting etc.

o General Admin task

Any reporting or analysis required by the Financial Controller

Thereafter the role will grow and develop based on skills and ability of individual, knowledge of systems and the needs of the business.

Specific attention will be paid to the management accounting, financial accounting and reporting element of the role in order to align with the requirements of the external qualification.

Additional training will be provided where necessary above the Apprenticeship Learning in respect of telephone skills, communication skills etc.

What qualification or qualities are required?

• Strong numeracy skills.

• Able to maintain and project a helpful and courteous attitude to internal and external customers at all times.

• Flair for Customer interface on a business to business basis

• Problem solver, with bias for action to meet customer requirements

• Commercial awareness.

• Able to work in a Team environment

• Self-motivated and willingness to learn new skills to progress within Xerox.

• Excellent telephone skills with clarity of verbal communication and confidence

• Excellent listening skills

• Effective written business communication skills

• Evidence of planning and organising and preference for working within a disciplined structured environment

• PC literate - Microsoft applications such as Excel, Outlook and Word

• Candidates must have 5 GCSE’s or equivalent including English and Maths Grades A* - C or equivalent
