Xerox Bid Manager in Lisbon, Portugal
The Bid Manager is responsible for supporting the capture of qualified deal opportunities. Working in close conjunction with sales, commercial, solutions and delivery leads, and bid operations counterparts in other regions on global deals, the Bid Manager is responsible for the end to end bid management of opportunities from qualification through to client signature.
Lead deal teams to capture profitable opportunities, beating the competition by using best-in-class bid management skills, tools & processes
Ensuring we have an appropriately tailored value proposition and compelling win strategy on each deal that meets true customer needs and differentiates us from competitors
Aligning internal and external business partners to the ‘win strategy’ and facilitating tollgate reviews on each deal to ensure full stakeholder engagement
Ensuring adherence to Xerox global Bid Management Pursuit Process, including robust economic assessment and risk management on each deal
The Bid Manager is assigned to deals covering the full scope of Xerox offerings (managed print services, centralized print services, communication & marketing services & transaction processing) either as ‘lead region’ on International led deals or ‘receiver region’ working on the International scope of global bids led from other regions (eg XNA, Fuji Xerox)
Alternatively, a Bid Manager may support a Strategic Bid Manager on large/highly complex mega-deal opportunities.
Helps assemble and lead virtual deal teams , including Sales professionals, subject matter experts, Consultants, functional experts, Solution Architects, Service Transition - and Service Delivery professionals.
Facilitates and contributes to the development of best-in-class proposals , including allocating specific tasks and responsibilities to virtual team members and inspecting team work products to ensure quality control, consistency and clarity of key messages
Ensures robust qualification and win strategy development prior to bid resource commitment and revalidated during each tollgate review. Schedules and facilitates tollgates in line with global Bid Management Pursuit Process (BMPP).
Ensures a robust contracting risk management process is utilized where appropriate during each tollgate – in line in line with BMPP and corporate requirements.
Develops and manages – or contributes to - the bid development project plan , including setback schedules, to ensure all internal, partner and customer deadlines are met with sufficient time allowed for ensuring iterations and high quality work output
Facilitates team-working and constantly improves the quality and inter-working of the stakeholder groups within the bid process
Contributes relevant materials to Xerox bid management knowledge base once bid is concluded and facilitates tracking of relevant performance metrics and dashboard metrics throughout deal process (including final award)
Contributes to on going process improvements related to the global BMPP and provides input to the development of best practice, repeatable bid management processes
Drives improved profitability and bid cost reduction through re-use, best practice processes and knowledge sharing. Ensures that bid budgets are managed effectively
Ensures resource requirements are identified and available , prioritises bid and project management resources
Monitors and inspects bid status to ensure on going commercial viability of bids and ensures appropriate contingency actions are in place
Engages proof-reading and editing resources as needed to ensure a professional and clear proposal is presented to the customer
Helps lead the bid project team to successful contract signing
Relevant degree or equivalent
Experienced in competitive deal pursuits
Familiar with selling services value propositions
Experience of successfully leading diverse teams in projects for formulating, pricing and implementing integrated business solutions
Proven ability to resolve problems when managing projects
Proven ability to negotiate internally and externally

Physical requirements work environment: No unusual physical requirements. Light lifting and moving of computer equipment and related accessories may be required. Position may involve travel to various client sites; travel may be extensive for periods of time relating to specific program assignments.
