Position: Director of Operations

Location: onsite Lakeland, FL .

Travel: 25% including some to our offshore facilities

Position Overview:

The Director of Operations will lead all operational support functions, client relations activities, client reporting projects and regulatory compliance for the company. He/She oversees the following operational activities: Mail Center, Imaging and Special Services Departments, including timely and efficient distribution of mail, faxes and document scanning by staff. Additional responsibilities include building a high performing culture by coaching, developing and retaining assigned staff. He/she acts in a resource capacity for nursing and client accounts in addressing service issues identified by the company and/or its clients. He/She will be responsible for identifying all resources needed by the department and managing existing resources according to the established departmental budget.

Primary Responsibilites:

  • Provide leadership and strategic planning for all aspects of service delivery and compliance for the Operations and Facilities Teams

  • Promote and support the company’s philosophy of client service excellence

  • Oversee the coordination of building space allocation and layout, communications services and facility expansions

  • Direct the maintenance of all facilities, grounds and equipment

  • Direct all purchases involving capital equipment, printed materials, office supplies, forms, promotional products, computer and peripherals

  • Negotiate contracts, leases, maintenance and service agreements

  • Maintain contact with vendors and suppliers to assure compliance with specifications, pricing, and service levels

  • Evaluate all vendors providing services and/or products and identify vendor issues that may impact the quality or cost of service delivery

  • Identify, develop and manage relationships with various internal functional managers and clients

  • Identify opportunities to improve team efficiency and cost effectiveness

  • Oversee the management of individual performance of personnel assigned including attendance, staff evaluations, disciplinary counseling and documentation

  • Promote continuous quality improvement, training and development of individuals and teams assigned

  • Actively participate in the selection and staffing process in coordination with Human Resources

  • Coordinate, delegate and supervise activities of Team Leaders

  • Proactive and diplomatic with business partner questions and/or concerns

Collateral Responsibilites:

  • Demonstrate the ability to work in cross-functional teams as assigned and/or required

  • Identify opportunities for program enhancement and expansion

  • Monitor company-wide program performance to ensure appropriate task completion, compliant with all contractual guidelines

  • Ensure service delivery is consistent with contractual agreements

  • Travel occasionally to client locations and marketing presentations

  • Understand all aspects of company operations

Performance Expectations:

  • Demonstrate understanding of Bunch purchasing history and current and future needs

  • Meet internal deadlines on time - 90%

  • Meet external deadlines on time – 90%

  • Ensure individuals and team meet departmental performance expectations

  • Conduct monthly performance review and appropriate feedback with assigned personnel

  • Complete annual performance appraisal and update measurable performance expectations and development plans for all employees in a timely and comprehensive manner

  • Conduct performance improvement coaching and appropriately document performance improvement plans and/or corrective action for staff who fail to meet expectations for performance, attendance or behavior

  • Evaluate and manage workflow and make adjustments as needed to increase efficiencies

  • Ensure accuracy and timeliness of employee information provided to payroll

  • Respond to client/provider issues in a detailed, professional and timely fashion as specified by client contract and/or expectations

  • Assist with client presentations/tours, as requested by management

  • Demonstrate fiscal and economic responsibility with company resources

Preferred Qualifications:

  • Bachelors’ Degree in Business or related field or equivalent experience

  • Five (5) or more years of facilities and/or operations experience

  • Five (5) or more years of supervisory experience

  • Background in finance and/or accounting a plus

  • Ability to learn and provide ongoing training and coaching

  • Demonstrate ability to manage people in a fast-paced team environment

  • Proficient use of Microsoft Office software

  • Demonstrate the ability to identify, analyze and resolve issues impacting productivity and workflow in other past work environments

  • Demonstrated ability to effectively communicate orally and in writing

  • Capacity for positive interpersonal relationships, with a flair for diplomacy

  • Experience with compiling, combining, analyzing and interpreting client data

  • Master of Business Administration (MBA), preferably in Management
