Xerox Learning & Development Admin with French in Iasi, Romania

Major responsibilities :

  • Responsible for managing the learning/ training records of employees and Xerox partners;

  • Responsible for creating and activating/ deactivating students profiles for Xerox employees;

  • Responsible for creating resources and course events into the learning database;

  • Maintaining the learning database for employees and Xerox partners;

  • Verifying with the systems and with the event owners if an employee is suitable for the course that they want to attend and they meet the course pre-requisites;

  • Communicating and working closely with the employees, course owners, HR managers and facilities;

  • Organizing and distributes course materials for the First Aid in UK;

  • Creating and distributing the course invitations;

  • Creating and distributing the course joining instructions to the employees, course owners, HR managers and trainers;

  • Creating and distributing the attendance list and the Event evaluation results to the trainers, course owners and programme managers;

  • Responsible for sending reminders and chasing the participants when is necessary

  • Booking/ Cancelling or moving employees training courses to ensure maximum participation/attendance

  • Booking Hotel accommodation, training facilities and transport

  • Emailing confirmations to employees, managers and course owners

  • Being the key point of contact for training events, answers routine inquiries regarding training courses and schedules

  • Providing reports as required using the learning database

  • Review and proofread training materials for accuracy and thoroughness

  • Arrange for cost of training courses to be re-charged to relevant business areas

  • Chasing the Finance/ accounts in order to receive all the information;

  • Responsible for translate the resource forms;

  • Create and distribute the LEO induction pack;

  • Responsible for managing the 360 process in order to insert the participants, validate the list ,distribute the survey and send out the final report;

  • Raise PO’s in the SRM system;

  • Request Virtual Credit Cards for the PO raised for CITI bank;

  • Supporting learning partners and Partners for accreditation

  • All other admin duties as assigned

Requirements :

  • Experience in working in a team providing administration services

  • Strong organizational skills

  • Attention to detail

  • Ability to take a broad perspective to problems and identify new, less obvious solutions

  • Ability to communicate effectively with delegate, managers and vendors, in order to deliver the best results to our customers

  • Proactive and assertive

  • Ability to work with limited supervision

  • Fluent in English and French, Italian is a plus

  • Experience in the MS Office at an Advanced level and Excel at intermediate level

  • Working closely with the business to understand their requirements;

  • Flexibility to be able to meet customer needs
