Role Objective:

To provide a bespoke service to the fee earners in relation to file management, deeds scheduling, scanning projects and Sitepoint administration.

Role Outline:

The candidate will have contact with our clients, our service providers and CMS’ personnel at all levels. The candidate will be required to use various records management systems and software packages.They will have responsibility for day to day records and deeds management duties including:

  • Use of CMS’ electronic documents management system, and records and practice management systems

  • Collation of files and documents ready for indexing, making up of box contents and preparation of contents listing in readiness for indexing and archiving

  • Data entry of files and documents to records management system in preparation for removal to off-site storage

  • Distribution and delivery of files and documentation from Records Department to fee earners and support areas.

  • Provide bespoke management reports of items held in off-site storage in Edinburgh, Glasgow and London

  • Gathers, ranks and analyses business information to define high quality and effective Information Management solutions for Client Audit responses

  • Assist Records Manager with Scanning Projects

  • Check incoming deeds against inventory prepared by other side

  • Create inventories for deeds packets

  • Maintain deeds packets in relation to movements

  • Assist fee earners with maintenance of Sitepoint sites

  • Undertake project work as directed by fee earner or Records Manager

Skills Required:

  • Ideally have a Legal Records background

  • Proficiency with Excel, Word and ERDMS

  • Good understanding of Corporate records (HR, Legal, Finance, etc)

  • Have fast and accurate keying skills

  • Have Project Management skills

  • Display meticulous attention to detail

  • Have the ability to communicate at all levels

  • Competent to work independently or as part of a team
